Event Workflows

Schedule category, settings, and marketing actions for your event

Workflows let you automate organizer actions ahead of time: show or hide categories, open registration, activate coupons, send event updates, and more.

Where to find it

Event dashboard → Workflows (under Event Management).

How it works

  1. Create a rule with a trigger (specific time, relative to an event date, or when a condition is met).
  2. Choose an action (for example show category, mark sold out, open registration).
  3. The platform runs the rule automatically and records a run log.

Time-based rules are checked every minute. Condition rules (such as category sold out) are polled every five minutes and also evaluated shortly after ticket sales update inventory.

Trigger types

If you change event dates in Setup, relative rules are recalculated automatically.

Recurring condition rules

By default a rule runs once and then completes. A condition rule can instead be set to recurring so it fires again each time the condition is met — for example re-hiding a category every time it sells out after a restock. A recurring rule only re-fires on a fresh transition into the condition: once it fires it waits for the condition to clear before it can trigger again, so it never fires repeatedly while the condition stays true.

Templates

Built-in packs help with common patterns:

  • Tiered onsale — show first tier, then price tier release
  • Presale to public — end whitelist-only and show GA
  • Merch drop — show addon and allow standalone purchase
  • Last call — show remaining percentage and update CTA label
  • Coupon flash — activate then deactivate a coupon

Apply a template, then provide binding IDs (category, coupon, addon) in JSON.

Actions available

Categories (show, hide, sold out, price tier release, highlight, direct link), clusters (activate/deactivate), event settings (live, whitelist, phase timer, content labels), coupons, addons, marketing trackers, and scheduled event updates.

Run log and manual run

Open Log on any rule to see success, skipped, or failed runs. Run now executes a pending rule immediately (org admin only). Cancel stops a rule that has not run yet.

Notes

  • Completed or failed rules cannot be edited; create a new rule instead.
  • Category list cache may take up to about 60 seconds to refresh on the public page after a workflow runs.
  • Maximum 100 active rules per event.
